No more paper trails, no more clutter, no overflowing office bins, no more shredding and no more hassles of printing, posting and filing – sounds too good to be true, right? Version One doesn't seem to think so, as its document management software cuts paper, not only making good environmental sense, but also good business sense.
According to a survey by Version One, only 35 percent of organizations in the United Kingdom appeared to have electronic document management (EDM) functionality in place. Of
this, 20 percent were unsure whether their HR systems had integrated EDM or not.
Shockingly, the remaining 65 percent confirmed that their respective organizations were without EDM for HR.
EDM for HR compartmentalizes all documents relating to an employee. These are electronically stored and automatically tagged to the employee’s record in the HR system, making it secure and instantly accessible to authorized users.
If need be, these documents can be passed round electronically to those concerned about leaving a trail of paper behind.
“The paperless circulation, management and processing of HR documents, from contracts and pension records through to training details and disciplinary documents, is vital for effectively supporting compliance, delivering cost savings and maximizing the efficiency of the HR team,” said Greg Ford, managing director at Version One.
So what does all this add up to? That EDM is a good thing to have about the place, and given its existing status, presents an obvious demand for this technology within the HR function.
