Reducing Inefficiencies and 'Reply All' Blunders within Email Hosting

The numbers vary based on which survey you read, but the findings all agree on one thing: Office workers spend much of their time – probably too much of their time – on email hosting platforms.


At least 15 percent of a typical office worker’s day is spent on email, and five percent of emails received are replies to all, according to data from VoloMetrix, the Huffington Post (News - Alert) recently reported.

When spread over a 10,000-employee company, lost productivity can translate into losses of tens of millions of dollars per year, the Chronicle reported

For worker productivity, “it’s death by a thousand cuts,” according to VoloMetrix founder Ryan Fuller.

Findings from another recent survey said that almost a quarter of respondents receive between 100 to 1,000 emails in any given day and one in 10 workers is forced to sort through over 10,000 emails in their inbox on a daily basis. Additionally, 40 percent spend 30 minutes or more every day going though each and every message, totaling nearly 120 hours every year.

One of the biggest time-wasters of all are the infamous “reply all” gaffes that happen on a regular basis at organizations – when, in a moment of forgetfulness, an employee sends an email to a large group instead of one recipient, with information that wasn’t meant to be read by “all.”

Several programs and email hosting platforms are helping reduce such costly mistakes.

“In an effort to prevent these types of errors, makers of email programs have developed various options, including a Microsoft (News - Alert) plug-in option for Outlook called NoReplyAll, and Sperry Software’s Reply to All Monitor, which alerts users anytime they click the reply-all button,” the Huffington Post said.

In addition, email hosting platforms like the one from SherWeb is touted as enhancing efficiency rather than reducing it.
