Electronic archiving to begin next year [Daily Tribune (Bahrain)]

A new system of electronic archiving for documentation and management of Government entities is set to commence by the first half of 2014, said Executive Vice President of the eGovernment Authority Zakaria Al Khaja. "The decision was made after a study that was carried out to ascertain the possibility of applying a managing system for all Government bodies together. This will help in the overall financial aspect, operation and maintenance ," said Mr. Al Khaja. "The Bahrain National eGovernance Committee and the Supreme Committee for Information and Communication Technology had already conducted a comprehensive study on the possibility of establishing a system for document management and archiving, in order to downsize duplication and redundancy, benefitting all parties," he added. "The Committee will determine the stages of work and the time needed for comple tion of each phase, once com petitive bids are evaluated after announcing the tender," he said. Mr. Al Khaja pointed out that the existence of 10 factors will be considered for the development of these systems in coordination with the tech nical assessment team. The entire application process will be in accordance with the var ious stages to be applied as the system will first be tried on a specific group of Government bodies and gradually to other entities, only after the success ful testing and evaluation of the primary phases. "Among the results they seek to achieve, the main aim of the project is to promote cooperation between Government agencies and bodies through the establishment of a uni form communication and creation of a safe environment for the exchange and archiv ing of information. Apart from that, we also want to work on the policy of `green environment', where we can assist in reducing the conventional use of paper for all kinds of work.
We would also like to introduce a mechanism to organise the workflow to save time and effort, in addition to cost cutting," he concluded. The eGovernment Authority's, in connection with strategy initiatives for 2016, has introduced multiple initiatives on archiving, management, follow-up correspondence and storing documents electronically, including a project system for electronic correspondence that automates key processes between the legislative and executive branches and incorporates an electronic document management system. ? ?
