EMC Simplifies Enterprise Content Management

By Anuradha Shukla, TMCnet Contributor

EMC, a global provider of information infrastructure solutions, has launched a family of products that enables enterprises to utilize EMC (News - Alert) Documentum enterprise content management (ECM) functionalities directly from common desktop applications and familiar interfaces.

EMC Documentum is already popular amongst organizations as it allows users to access all business-critical information. These products also allow them to control and archive information for governance and compliance requirements without leaving their everyday application.

Quick access to information is required but business users don’t have time to navigate multiple applications or learn new tools. The My Documentum family provides integrations to common applications such as Microsoft (News - Alert) Outlook, Microsoft Windows Explorer and Microsoft SharePoint. By doing so, it extends sophisticated ECM capabilities to every desktop and thus allows IT organizations to advance knowledge worker adoption. In addition, it further increases the return on investments of their Documentum solution.

EMC My Documentum Family comprises of following components:

--EMC My Documentum for Outlook: This solution enables users to completely leverage Outlook’s native user interface features, menus and toolbars to file, store, find and manage critical e-mails and attachments in the Documentum repository.

--EMC My Documentum for SharePoint: This provides users with seamless, direct access to content that are being managed within a Documentum repository through the SharePoint user interface.

--EMC My Documentum for Desktop: With this you can access, save, share and secure content in the Documentum repository through Windows Explorer, Apple (News - Alert) Macintosh Finder and Microsoft Office programs.

--EMC My Documentum Offline: This allows mobile workers access to the latest versions of content they use most often while disconnected from the Documentum repository.

In a release, Whitney Tidmarsh, chief marketing officer, Content Management and Archiving Division, EMC, said this launch allows business users to work in ways that best suit their needs—whether online or offline—with no training required.

Melissa Webster, program vice president, Content and Media Digital Technologies, IDC (News - Alert) explained that a large number of enterprise content management initiatives fail because ECM functionality is not well integrated into the business applications that are used by knowledge workers every day. The EMC My Documentum family provides users with transparent access to content services delivered by Documentum.

“As more workers secure, store and manage content within Documentum, the IT organization can better address its requirements for archiving, retention, governance and compliance," she said.

Timothy Moy, analyst, Food and Drug Administration, said the newest release of My Documentum for Outlook provides a highly-integrated user interface with Microsoft Outlook. According to Moy, the FDA was able to roll out the solution to half of its users within three weeks. These workers found the solution easy to use because they are working through the same Outlook program they're familiar with.
