With a number of employees housed in different divisions of a company, located around the world, today’s global organization faces a number of challenges when it comes to effective communications. If that company is still relying on fax technology to drive communications, a few updates may be in order.
This recent paper captured the success story surrounding Deloitte (News - Alert) in New Zealand. The company has more than 900 employees that provide a broad range of professional services from offices in Auckland, Hamilton, Wellington, Christchurch and Dunedin. Each day, the company exchanges critical and confidential financial information with its clients. Deloitte relies on faxing to move these documents, but the process has not always been easy.
“Years ago, each of our five offices in New Zealand had one published fax number and an incoming fax machine in the mail office,” said Philip van Klink, Infrastructure Analyst with Deloitte in New Zealand, in the success story. “Employees were reliant on the mail staff to gather incoming faxes and distribute them across the office.”
With dozens more fax machines scattered across the five offices, numerous Deloitte professionals had to print documents, walk them to the fax machines, and wait to receive delivery confirmations. This manual process not only consumed employee time, it also wasted paper supplies and hardware maintenance.
To eliminate unnecessary spending and streamline its faxing process, Deloitte needed to implement an enterprise fax over IP solution. To do so, the company turned to OpenText and its RightFax Enterprise Server. The company implemented fax boards in its Auckland office and satellite servers in Wellington and Christchurch. The satellite servers fed inbound faxes into the main server for distribution to users. And, with the integration between the RightFax Enterprise Server and Multi-Function Printers (MFPs), faxing tasks can be done over the IP network.

- Alert) Routers with T.38 Fax over IP and Konica Minolta MFPs, all centrally managed by the Deloitte IT team in Auckland,” says Jonathan Taylor, Sales Manager for FaxFlow, a solutions provider that specializes in the latest fax technologies. Taylor manages Deloitte’s use of the RightFax enterprise over IP technology.
As a result of the implementation of the enterprise fax over IP solution, Deloitte is able to leverage existing resources and track communication, while also eliminating costly hardware, simplifying management, and enhancing disaster recovery. These measurable benefits produce a rapid and strong return on investment, extending the value of the enterprise over IP solution.
