Going Green with Enterprise Fax Over IP

The cost of going green may at times seem prohibitive as companies evaluate the ROI on any new technology they plan on deploying. However, enterprise fax over IP can allow businesses to reduce their environmental footprint, as well as increase efficiency and save money.

 
According to Matthew Brine, vice president of the fax and document distribution group of Open Text Corp. (News - Alert), fax over IP provides a number of advantages and cost savings while reducing environmental impact in a number of ways. 
 
First, the company’s Open Text Fax Server, RightFax Edition can integrate within an existing voice over IP infrastructure. “This is hugely important for an IT organization to manage administrative and equipment overhead,” he said. 
 
Secondly, organizations that use standalone fax machines incur significant costs from using high volumes of paper and toner, Brine said. In addition, the adoption of fax in a converged IP environment can eliminate or reduce analog and ISDN lines, leading to additional cost savings.
 
And according to Brine, the cost of not moving to FoIP with a VoIP network eventually could cost companies more money, considering that standalone fax machines add cost, inefficiency and risk with their document delivery requirements. 
 
“We have shown through cost analysis that we can reduce standalone fax machine costs by up 90 percent.  These reductions also include dramatically minimizing the use of paper and toner.  Also, for those organizations who already have a VoIP network, our fax servers can extend and integrate into that infrastructure which can lower energy costs using software-enabled FoIP in virtual environments,” Brine said.
 
Labor costs can also be reduced by automating labor intensive business processes that involve generating, sending and receiving invoices, purchase orders, loan applications, order confirmations, and other transaction documents, he added.
 
“When you combine cost benefits with improved document management that enhances security and compliance efforts, the value proposition is very strong,” Brine said.
 
Additional green benefits include lowered energy consumption through the use of software-enabled FoIP in virtualized environments as well as bolstered efficiencies associated with managing consolidated networks that support VoIP and FoIP.
