Change within the organization is never easy, regardless of your size. We’re accustomed to doing things a certain way and changes takes time, resources and patience – all three of which can sometimes be in short supply. When it comes to software licensing and migrating your entitlement management system, there are specific project management best practices to keep in mind.


This was the focus of a recent blog by software licensing solutions provider, Flexera Software. The primary point to share from this piece is the importance of planning the migration project. In the process, priority should be placed on aligning with stakeholders and ensuring the resources available are enough to manage the project. That means managing process changes that can impact different parts of the organization, the customer experience and other areas.

To that end, the areas of the organization impacted by migration projects in software licensing including sales as opportunities may have been entered differently that what is needed by new entitlement management solutions. The orders team is also affected as order validation may be different. Product configuration and licenses are often also different, which can affect software operations. IT will feel the change as they build new integrations, migrate data and install, maintain and monitor the new system.  

While the list of affected individuals just keeps going, there are things that can be done to help set a standard and control the overall process. Bi-weekly stakeholder meetings with status updates, next integration targets and discussions around unresolved issues are important. It’s also key to conduct meeting with core team members to identify issues. The team should include representatives from the most common users and meet twice a week. At the same time, coverage tracking ensures that most scenarios are covered by the new system.

At that point, it’s important to identify go-live criteria that must be met and plan for full go-live execution. This planning includes the best time to go live, who should be on hand and the testing to complete beforehand.
