Stressed to the Max: Being in Charge of Conference Room Technology

Who hasn’t endured that sinking feeling of being put in charge of the conference room meeting? You have to get the online folks connected, then set up the PowerPoint, then hope everything runs as expected. Stressful? Just a tad.

That was the finding from a recent survey by Barco, a global technology company that designs and develops networked visualization products. In fact, the survey results show that 90 percent would rather just not be put in that position.

Nine in 10 office workers experience seriously elevated stress levels when dealing with troublesome technology during meetings,” a report on the findings found. “People’s heart rates reached 179 bpm (beats per minute) when struggling with technology during a meeting, compared to resting heart rates of around 60-100 bpm – a clear indicator of stress.”

The report from Telecom Reseller (News - Alert) noted that the problems experienced by those trying to get connected seemed to be similar across the spectrum.

“Sixty-six percent try to fix problems themselves, 50 percent call IT/tech support, 29 percent end up giving up with the tech and going to their ‘Plan B’; 15 percent even postpone meetings until technology problems can be fixed,” the story said. “The vast majority of us (88 percent) actually pre-prepare for technology failures: 50 percent prepare handouts as alternatives, 47 percent coordinate with IT in advance, and 42 percent even do a tech rehearsal.”

The cost of such difficulties can be high, even though they’re not patently obvious.

“People show a clear stress response when faced with difficulties in getting meeting room technology to work. Stress in the workplace does not have a positive impact,” Dr. David Lewis, Neuropsychologist and Director of Mind Labs International, is quoted as saying. “People miss deadlines, and some even report that they have missed out on promotions as a result. This should not be happening! Removing these stresses from workers should be a top priority for businesses.”

Obviously, having simple-to-use technology would go a long way toward alleviating such stress.

“Investing in meeting room technology which works at the click of a button will significantly help in reducing complexity and stress from office workers lives,” said Lieven Bertier, Head of Product Management at ClickShare. “When office staff can share screens more easily and collaborate more easily, businesses benefit by becoming more efficient.”
