The arrival of video conferencing introduced a new, personalized way to communicate. And it is no passing fad. The global video conferencing market is projected to reach $2.9 billion by 2020. So, as adoption is on the rise, here are a few tips to offer optimal video conferencing experiences.  

It starts with having the correct software installed. Taking the appropriate time to research the proper equipment that suits your company’s needs is of the utmost importance. How many people should the solution accommodate? What features are important; file sharing; screen sharing; documents. Is it necessary to be able to access the conferences on mobile devices? What is the exact budget? Additionally, what capabilities are already in place that the company can build upon to create the perfect video conferencing space? Once these, and many other questions are answered, it’s on to the actual video conference

Every member involved in the call must remember to mind their manners because this call is visual not just audible. Stay mindful of body movements, looking disinterested, bored, tired, yawning, or anything that could be perceived as rude by the other participants.

Another point to stay mindful of is dress code, especially if you are a remote worker. Virtual meetings are the one time where trading pajamas and comfortable dress for a nice suit jacket is necessary. Introducing everyone in the meeting is also important if you are the team leader. Make sure the whole team feels acknowledged and welcomed.

Finally, and this takes the conference full circle, always ensure the software in place is upgraded and current. The person operating this software should also be familiar with it, from soup to nuts. So if new to using the software, a run-through the day prior is a great idea.
